Type – Salaried Exempt

Rate of Pay – $50,544 – $52,294 per year 

Basic Function: Performs general fiscal activities pertaining to the maintenance of the Agency’s accounting records under the general direction of the Business Office Supervisor and/or Finance Director. Is supervised and evaluated by the Business Office Supervisor and/or Finance Director.

Specific Responsibilities:

  1. Assists with performing payroll processing by reviewing timecards, edits garnishment calculations and review payroll deductions.
  2. Assists with preparing payroll reconciliation work papers.
  3. Calculates sales tax for the Attic and Community Day Services and submits to the State of Illinois. 
  4. Downloads all bank statements for residential homes and people supported and posts to the SharePoint portal for Residential Supervisors to access.
  5. Reconciles Agency bank accounts including:
    • Operating Account
    • Rep Payee Account
    • Money Market Account
    • Pathway Partners
    • Employee Events
    • Pay Pal Account
  6. Works closely with bank personnel to open new accounts as needed and maintains documentation for all current bank accounts.
  7. Prepares daily deposits, which includes daily sales for The Attic.
  8. Assists in preparing reports as requested by manager.
  9. Assists with compiling attendance data for all programs.
  10. Prepares all Agency billings and service reports, including calculating utilities and billing tenants.
  11. Performs bank transactions for individual allowance and house transfers.
  12. Handles monthly Social Security transactions.
  13. Assists with preparing the Agency’s payroll and related reports.
  14. Assists with coordinating the Agency’s employee benefits and payroll deduction program.
  15. Assists in those activities necessary for the accurate and timely preparation of the Agency’s financial statements.
  16. Serves as backup for all daily functions of the Business Office.
  17. Distributes reports to Program Directors, QIDP’s or Facilitators.
  18. Completes all annual training requirements.
  19. May be required to assist during emergency situations.
  20. Performs all other duties as assigned.

 

Minimum Education/Experience

Verifiable documentation of education.  Associate’s degree in accounting or comparable demonstrated skill development and two (2) or more years of general accounting experience.  Experience with payroll processing highly regarded.  Proficient in spreadsheet applications and accounting software.  Experience with persons with developmental disabilities and mental challenges preferred.  Must meet the requirements of Direct Support Person (DSP) training.   

Language and Skills

Successful completion of the Short Test of Functional Health Literacy in Adults (STOFHLA), testing ability to read. This is a professional position which requires good verbal and written communication skills.  Ability to prioritize responsibilities.  Knowledge of labor laws, state and/or federal regulations, Agency timekeeping system programs, Collective Bargaining Agreement (CBA), other Agency programs, and Agency policies highly valued. Ability to interact and communicate with people supported by our Agency, employees, parents/guardians, State/Federal staff members, and other supervisory/management personnel.

Must be able to complete all physical requirements of the position with or without a reasonable accommodation. Successful completion of Essential Functioning Test (EFT) verifying ability to lift at least seventy-five (75) pounds.
